PART I – SPECIAL CONDITIONS OF PARTICIPATION

1. Event Organiser

Diving Talks is organised by Portugal Dive (https://www.portugaldive.com), hereinafter referred to as the “Organiser”. Both “Diving Talks” and “Portugal Dive” are brands owned by Arlindo Serrão Viagens e Trusimo Unip Lda, a Portuguese limited liability company registered under the number 514376422.

2. Event Title

The official title of the event is: Diving Talks | Portugal [year] | International Diving Show.

3. Sponsorship Opportunities

Companies and organisations may participate as sponsors under the sponsorship packages and conditions published by the Organiser for the respective edition. You can find the updated version here: https://www.divingtalks.com/sponsors/#become-a-sponsor.

4. Venue

The event will take place at the location and venue designated by the Organiser. You can find that information here: https://www.divingtalks.com/about/#venue.

The Organiser may change the location or venue at any time without previous notice.

5. Participation Fees

Exhibition fees, sponsorship packages, stand options and additional services are published in the official sponsorship file under the Sponsors section.

All prices are exclusive of applicable taxes unless otherwise stated.

6. Exhibitor Passes

Exhibitors will receive a number of exhibitor passes corresponding to the purchased participation package.

Additional passes may be acquired subject to availability and applicable fees.

7. Logistics and Operational Information

Detailed information regarding move-in, move-out, deliveries, stand construction schedules, technical services, and venue access will be provided in the Exhibitor Manual.

All participants must comply with the deadlines and procedures established therein.

PART II – GENERAL CONDITIONS OF PARTICIPATION

1. Participation Application

Submission of an application form constitutes a binding offer to participate in the event and acceptance of these Conditions of Participation.

2. Acceptance and Allocation

Participation is subject to written confirmation by the Organiser.

The Organiser reserves the right to determine stand allocation and may modify stand locations where operational requirements make this necessary.

3. Payment Conditions

Invoices shall be payable within the deadlines stated in the sponsorship agreement.

Failure to make payments on time may result in suspension or cancellation of participation rights and the loss of all amounts already paid.

4. Co-Exhibitors and Shared Stands

Any company represented on a stand other than the contracted exhibitor must be declared in advance and approved by the Organiser.

Additional fees may apply.

5. Withdrawal and Cancellation

Cancellation must be submitted in writing.

Participation fees already paid are non-refundable.

The Organiser may, at its sole discretion, authorize credits or alternative arrangements for future editions.

6. Exhibits and Commercial Activities

Only products, services and activities related to the exhibitor’s declared brand and business may be presented.

The Organiser reserves the right to remove any exhibit, display or activity considered inappropriate, unsafe or inconsistent with the event’s objectives.

7. Event Directory and Visitor Information

Exhibitors authorize the Organiser to publish company information in event-related directories, websites, mobile applications, visitor guides and promotional materials.

The Organiser assumes no responsibility for errors or omissions in submitted information.

8. Promotional Activities

Advertising, demonstrations, presentations, filming, distribution of promotional materials and similar activities are permitted only within the contracted stand area or in locations specifically authorized by the Organiser.

Activities that disturb other exhibitors or visitors may be restricted or prohibited.

9. Organiser Liability

The Organiser shall not be liable for loss, theft, damage, interruption of business, personal injury or other claims arising from participation in the event, except where liability cannot legally be excluded.

10. Insurance Requirements

Exhibitors are responsible for obtaining adequate insurance coverage for their personnel, exhibits, equipment, stand construction and business activities.

Proof of insurance may be requested by the Organiser.

11. Stand Operations and Safety

Exhibitors must ensure that their stands remain adequately staffed during official opening hours and comply with all applicable health, safety, fire and venue regulations.

12. Stand Construction and Appearance

Stand designs must comply with venue regulations and any technical guidelines issued by the Organiser.

The Organiser may require modifications to installations that compromise safety, visibility or the overall appearance of the exhibition.

13. Environmental Responsibility and Cleaning

Exhibitors are responsible for maintaining their stand area in a clean and orderly condition.

Waste must be disposed of in accordance with venue regulations and applicable environmental requirements.

14. Rules of Conduct and Venue Authority

Participants shall comply with instructions issued by the Organiser, venue management, security personnel and public authorities.

The Organiser reserves the right to remove any participant whose conduct may jeopardize safety, reputation or orderly operation of the event.

15. Force Majeure and Event Disruption

The Organiser may postpone, shorten, relocate, modify or cancel the event due to circumstances beyond its reasonable control, including but not limited to natural disasters, public health emergencies, government restrictions, security threats, labor disputes or technical failures.

16. Assignment of Rights

Participation rights may not be transferred, assigned, sub-licensed or otherwise made available to third parties without the Organiser’s prior written consent.

17. Governing Law and Final Provisions

These Conditions of Participation are governed by Portuguese law.

Any disputes arising from participation in the event shall be subject to the jurisdiction of the competent courts of Lisbon, Portugal.
